Artificial Intelligence in Project Management

Artificial Intelligence (AI) is increasingly influencing project management by improving decision-making, automating routine tasks and providing data-driven insights. As organisations adopt AI tools, project managers must understand how these technologies can enhance efficiency and project outcomes.

How AI is Used in Project Management

AI technologies are increasingly being used to support project management activities by automating processes, analysing data and improving decision-making. These tools help project managers work more efficiently and make better-informed decisions (PMI, 2021).

While AI offers significant advantages in project management, it also presents challenges that organisations must consider. Understanding both the benefits and limitations of AI is essential for its effective and responsible use.

Benefits

AI can improve efficiency, enhance decision-making, and support better planning by automating tasks and analysing data.

Future Developments

AI is expected to play an increasingly important role in project management, with more advanced tools supporting predictive analytics, automation and real-time decision-making.

Challenges

AI introduces risks such as data dependency, ethical concerns and the need for new skills and organisational capabilities.

Organisational Considerations

Organisations must consider governance, ethics, training and integration when adopting AI to ensure responsible and effective use.

The Future of AI in Project Management

As AI continues to evolve, its role in project management is expected to expand significantly. Project managers will need to adapt by developing new skills, understanding emerging technologies and integrating AI into their practices in a responsible and effective way.

Free AI tools available to Irish small businesses and charities right now include Claude (Anthropic), ChatGPT (OpenAI), Microsoft Copilot for Microsoft 365 users, Canva AI for visual content and Google NotebookLM for analysing documents. Important: never paste sensitive personal data - client records, donor information - into public AI tools as this could violate GDPR obligations

The Risks of Using AI in Your Projects

AI is not magic - and it comes with real risks that project managers need to plan for:

Accuracy - AI can generate plausible-sounding but incorrect information. Always verify important facts independently before using them in official reports or funding applications.

Data privacy - Do not paste sensitive information into public AI tools. This could violate GDPR and put your organisation at serious legal risk.

Over-reliance - AI can draft a risk register but it cannot replace your knowledge of your organisation, your community or your context.

Bias - AI is trained on existing data which can embed existing biases. Review AI outputs critically rather than accepting them at face value.
